If you use Ciaera at work
No. HR leaders see aggregated team trends and nothing else — never an individual entry, never a message, never your name next to well-being data. They cannot even see whether you have used the app.
The dashboard shows nothing at all until at least five people have responded in the period, so nobody can be identified by elimination in a small team. That floor is enforced in the backend on every query — there is no setting that turns it off, and no screen anywhere in the product that would show one person's history. No. Your messages are encrypted at rest under a key derived for your account alone, and we have not built a screen that displays them — not in the HR dashboard and not in our own admin console.
There is one automated check, and it is worth knowing about: if a message is about to be blocked because you have hit a usage limit, Ciaera checks whether it reads like a crisis and lets it through if so. That is described in full in Section 4 of the Privacy Policy. No human reads anything, and no one at your company is told.
No. Your messages go to Anthropic to generate a reply, over its commercial API. Under Anthropic's commercial terms, what is sent through that API is not used to train its models. Anthropic keeps it briefly for its own trust-and-safety purposes and then deletes it, and it never receives your name or email — only the message text.
We do not train anything on your content either.

Ciaera is neither. It is an AI companion built on Anthropic's Claude — good for talking a hard day through, not a substitute for a professional, and not able to get help to you. It is meant to sit earlier in the chain than a doctor's appointment, not to replace one.
Your account and your data
In the app: Settings → Privacy & Data → Export my data. You get a JSON file, generated on the spot, which you can save or send wherever you like. That is your GDPR Art. 20 right, and you do not need to ask us for it.
In the app: Settings → Danger Zone → Delete account. Immediate, and it cannot be undone — export first if you want to keep anything.
The one exception is an HR leader who is the last one left in an active company: you have to transfer ownership to another HR leader first, or email us to close the whole company account, because otherwise the company would have no administrator. We handle those within 30 days, usually much sooner.
Withdrawing consent (Settings → Privacy & Data → Withdraw consent) erases your well-being data straight away — moods, conversations, memory notes, AI summaries — and signs you out on the spot. What stays for 30 days is an empty login with nothing in it, so that you can come back and re-consent without starting from scratch. If you do not, that shell is removed too.
Deleting your account does the same thing without the 30-day window. Everything goes at once.
Either way we email you a confirmation, so there is a record that it happened.
Nothing lingers. Mood entries, conversations and journal entries are deleted 12 months after they were made, and the AI's memory note is cleared after 180 days without a conversation. If an employee account goes a full 12 months with no mood entry and no conversation, the account itself is deleted automatically.
That is deliberate: an app about how you are feeling should not hold a permanent record of it. The full table is in Section 9 of the Privacy Policy.
On the sign-in screen, tap Forgot password? and enter your email. The reset link arrives within a few minutes and is valid for one hour, once. Check your spam folder if it does not appear.
We cannot read or recover your existing password — it is stored only as a one-way hash — so a reset is the only route in.
For HR leaders
Go to Company in the dashboard and add your organisation's work-email domain — yourcompany.com. Once it is verified, anyone with a matching work email can sign up and join by confirming their address. There are no codes to distribute, chase or rotate.
Good — send them the Privacy Policy. It names every sub-processor, every retention period and every legal basis, and it is written to be read by someone whose job is to poke holes in it.
If they want a signed data processing agreement, email us and we will get one in front of you. We would also rather answer a hard question directly than have you guess from a document, so put us in touch.
Please don't — HR seats are per person, and the system notices when one login is being used from several places at once. It is also a security problem: a shared password cannot be revoked for one person.
Your plan includes several HR seats. Add colleagues properly from the dashboard, and email us if you need more.

We aim to reply within one business day, Monday to Friday, Finnish time. If something is urgent, put URGENT in the subject line and it gets looked at first.
Requests to exercise a GDPR right are answered within 30 days at the outside, and normally the same week.
