Ciaera support and FAQ

No. HR leaders see aggregated team trends and nothing else — never an individual entry, never a message, never your name next to wellbeing data. They cannot even see whether you have used the app.

The dashboard shows nothing at all until at least five people have responded in the period, so nobody can be identified by elimination in a small team. That floor is enforced in the backend on every query — there is no setting that turns it off, and no screen anywhere in the product that would show one person's history. Full detail in the Privacy Policy.

No. Your messages are encrypted at rest, and neither the HR dashboard nor our own tools have a screen that displays them.

The one exception is a reply you choose to share when you report it: tick "Share this reply with Ciaera" and our review team can read that reply, plus your message before it if you include it. It is not linked to your account and is deleted after 30 days.

No. Your messages go to Anthropic to generate a reply, over its commercial API. Under Anthropic's commercial terms, what is sent through that API is not used to train its models. Anthropic keeps it briefly for its own trust-and-safety purposes and then deletes it, and it never receives your name or email — only the message text.

We do not train anything on your content either.

No. Ciaera is an AI companion built on Anthropic's Claude. It is not a substitute for a professional and cannot provide emergency help. If you need urgent help, contact your local emergency services.

The iPhone app is on the App Store and the Android app is on Google Play.

Sign up in the app with your work email and confirm the address. That connects you to your company, so there are no invite codes to wait for.

In the Ciaera app: Settings → Privacy & Data → Export my data. You get a JSON file, generated on the spot, which you can save or send wherever you like. That is your GDPR Art. 20 right, and you do not need to ask us for it.

Without the app: email info@ciaerampf.com from the address you signed up with and we send you the same file within 30 days.

The file holds your profile, your mood check-ins, your conversations, your journal entries and your AI memory notes and summaries. Feedback you sent is not in it, because it is never linked to you.

In the Ciaera app: Settings → Danger Zone → Delete account. Immediate, and it cannot be undone — export first if you want to keep anything.

Without the app: email info@ciaerampf.com from the address you signed up with, and we delete the account for you within 30 days.

Deleted with the account: your mood check-ins, your conversations, your journal entries, your AI memory notes and summaries, and the record that counts you as a feedback submitter. Feedback you sent stays, because it was never linked to you, and is deleted 12 months after it was submitted, or after the shorter period (at least 3 months) an Enterprise employer has agreed. That a deletion happened is recorded for 3 years, which data protection law requires of us.

The one exception is an HR leader who is the last one left in an active company: you have to transfer ownership to another HR leader first, or email us to close the whole company account, because otherwise the company would have no administrator. We handle those within 30 days, usually much sooner.

Withdrawing consent (Settings → Privacy & Data → Withdraw consent) erases your wellbeing data straight away — moods, conversations, memory notes, AI summaries — and signs you out on the spot. What stays for 30 days is an empty login with nothing in it, so that you can come back and re-consent without starting from scratch. If you do not, that shell is removed too.

Without the app: email info@ciaerampf.com from the address you signed up with and we erase the same data for you within 30 days, leaving the login in place.

You can also ask Ciaera in a conversation to forget something specific, such as your name, and it is removed from the memory notes.

Deleting your account does the same thing without the 30-day window. Everything goes at once.

Either way we email you a confirmation, so there is a record that it happened.

Nothing lingers. Mood entries, conversations and journal entries are deleted 12 months after they were made, or after a shorter period (at least 3 months) if your employer has agreed one in an Enterprise contract. The AI's memory note is cleared after 180 days without a conversation. If an employee account has no activity for that whole period, the account itself is deleted automatically, and we email the person 14 days before so they can download their data or keep the account by opening the app.

On the sign-in screen, tap Forgot password? and enter your email. The reset link arrives within a few minutes and is valid for one hour, once. Check your spam folder if it does not appear.

We cannot read or recover your existing password — it is stored only as a one-way hash — so a reset is the only route in.

Go to Company in the dashboard and add your organisation's work-email domain — yourcompany.com. Once it is verified, anyone with a matching work email can sign up and join by confirming their address. There are no codes to distribute, chase or rotate.

Send them our Privacy Policy, which lists our sub-processors, retention periods and legal bases. For our Data Protection Terms (MPF App Oy is the controller of the data in Ciaera) or any other questions, email us.

No. HR seats are per person, and a shared login can't be revoked for just one person.

Depending on your plan you have one or more HR seats. Add colleagues from the dashboard, and email us if you need more.

Email info@ciaerampf.com with your company name and we will sort it out directly. Invoicing is handled by us, not through the app.
